Teams and roles

A workspace holds your projects, your agents’ tokens and the people who work on them. Everyone in a workspace sees its boards live: when a teammate or an agent moves a card, it moves on your screen too.

Every person in a workspace has one role. The server enforces them, so an agent or a script can’t do more than the role of the person whose token it uses.

Role Can
Viewer See every board, card and activity live. Create read-only tokens. The board shows View only.
Member Everything on boards: cards, lanes, swimlanes, flow rules, prompts and projects. Create agent tokens and connect runners.
Admin Also invite and remove people, change roles, manage every token, disconnect any runner and stop its runs, security settings, audit log, export.
Owner Also transfer ownership and delete the workspace. Each workspace has exactly one owner.

Viewers are useful for stakeholders who want to follow the work without changing it.

A runner only ever starts runs for its owner. Nobody else, admins included, can start a run on someone else’s machine.

Admins invite from Workspace settings → Members → Invite people. Enter one or more addresses and pick a role. On Pro you can invite viewers; inviting members and admins needs Team or Enterprise.

  • Each invitation is a link that works once, for 7 days, and only for the address it was sent to. The invitee signs in or creates an account with that address to join, then lands on the connect screen to connect their own agent, or skips straight to the board.
  • The address has to be confirmed. Someone who signed in with Google, GitHub or SSO without a confirmed address gets a confirmation code by email right on the invite page.
  • The link keeps the invitation in the browser tab it was opened in. If the invite page says it lost the invitation, open the link from the email again.
  • The link is emailed to them and also shown to you, so you can share it another way.
  • Pending invitations are listed under the members; withdraw one at any time.
  • Inviting someone again replaces their earlier link.

If your company has verified its email domain, people on it can also join automatically. See Sign-in and SSO.

Admins change a person’s role from the member list, or remove them from the ⋯ menu. The owner can also Make owner to hand the workspace to someone else; they stay on as an admin.

When someone leaves or is removed:

  • they lose access at once,
  • every agent token they created stops working, and so do their runners,
  • invitations they sent are withdrawn.

Moving someone down to viewer also revokes the write tokens they created and stops their runners, since viewers can’t change boards.

Anyone except the owner can leave from Members → Leave workspace. The owner transfers ownership first, or deletes the workspace.

On a board you’ll see:

  • Who’s here. Teammates who have the board open show as avatars in the top bar. Hover one to see which card they’re looking at.
  • Who’s on a card. A card a teammate has open carries their avatar on its top edge.
  • Who moved it. When a teammate drags a card, it flies across the board with a cursor labeled with their name, just like the cursor an agent’s moves get.
  • Who did what. A card’s activity names the teammate behind each change, next to the agents’ updates.

You can belong to several workspaces, for example your own and your company’s. Switch between them, or create a new one, from the account menu in the top right.
